The successful candidate for our Senior Project Manager position will report directly to a Branch/Division Manager.  Primary responsibilities include, but are not limited to, using a high level of autonomy to write and run projects while hitting profitability goals while promoting and marketing the company’s Restoration and Remodeling divisions.  Experience in managing all aspects of customer jobs, including estimating and collections, providing extraordinary customer service and maintaining quality relations with co-workers, potential customers and existing accounts is key.

Key Responsibilities

Project Management:

  • Compile and compare multiple bids on all aspects of the project prior to estimating job.
  • Prepare work orders and schedule applicable trades and suppliers, including but not limited to: internal production, vendors, suppliers, and sub-contractors. 
  • Coordinate with co-workers to prioritize job needs and resolve scheduling issues.  
  • Perform a walk-thru with the respective sub-contractors and internal production employees and answer and questions or concerns proactively.
  • Maintain a sense of urgency in all job phases from onset through completion to ensure an efficient cycle time.
  • Maintain and oversee OSHA compliance on jobs where deemed necessary, for all trades either internal or sub-contracted.
  • Schedule and perform close-out meetings and final walk-thru with customers/clients. 
  • Oversee and direct the Project Manager(s) in Administrative and Field duties. 
  • Continually recruit new sub-contractors and vendors. 
  • Apply for and obtain necessary permits for job sites.  Schedule required inspections and meet inspectors at job sites.
  • Determine and produce materials list.
  • Procure, deliver, and return job materials as needed.
  • Pick up and deliver various job-related documents to the appropriate business or individual.
  • Respond to inquiries and complaints from clients, customers, third party administrators, sub-contractors, vendors, and other parties involved in a professional and timely manner.    

Estimating:  

  • Scope losses in accordance with Company policies.
  • Scope and prepare estimates ranging from $100-$750,000+.
  • Enter administrative data, diagram information, and line items into Xactimate.  
  • Prepare and calculate accurate estimates in a timely and efficient manner.  
  • Prepare and upload program claim estimates within or before timeframes established by third party administrators.  

Collections: 

  • Oversee and direct the Accounts Receivable for the project.
  • Monitor billing and payment receipt.
  • Facilitate the Accounts Payable process by requesting, reviewing, approving and submitting vendor and sub-contractor bills (net 30) in a timely manner. 
  • Code expenses to the correct category for accurate profit and loss statements by job.
  • Prepare and submit invoices for change orders and supplements.
  • Monitor the Accounts Receivable Aging Report on a weekly basis with special emphasis on balances over 60 days.  

Comprehensive File & Portfolio Management/Administrative Duties:

  • Ensure compliance and documentation with signed LEAD/EPA and Asbestos pamphlet disclosures, testing paperwork, and safety practice logs/reports, etc.
  • Participate in any OSHA safety training.  
  • Review entire portfolio of jobs with Management and all Team Members on a weekly basis.
  • Review and process job files for internal closing in a timely manner. 
  • Coordinate and oversee the completion of special projects assigned by Management. 

Marketing:

  • Be a brand ambassador for Phoenix. 
  • Maintain contact with assigned list of potential targeted clients provided by management and the Marketing Department.
  • Build and maintain quality relations with potential and existing clients and customers.
  • Maintain and update clients’ information 

Sales:

  • Develop maximum sales potential with assigned customers.
  • Utilize management, Marketing Department and other internal resources, when necessary, to assist with converting an opportunity into a job.
  • Efficiently process customer information and respond to inquiries and complaints in a professional and timely manner and keep the customer abreast of the job progress.
  • Complete the proper documents in both EMS and Structure Repair situations.  
  • Determine budgets, keep sales data, including timeline adjustments, workflow processes, change orders and supplements.

Education/Qualifications

  • Project Management: 2-5 Years’ industry experience in commercial or residential project management a plus (Restoration preferred but not required)
  • Proficiency in Xactimate Estimating Software (Required)
  • Previous experience working with insurance companies (Preferred)
  • High School Diploma or GED (Required)
  • Bachelor’s Degree with emphasis in Construction (Preferred)
